Project Coordinator

The Project Coordinator collaborates with clients and internal teams to ensure that all projects are completed on time, within budget, and according to quality standards.

Location:  Arlington, Virginia

Responsibilities
  • Interacts with stakeholders to identify and define project requirements, scope, and objectives.
  • Prepares comprehensive action plans for projects, including tasks, resources, and timeframes.
  • Coordinates project schedules, tasks, resources, equipment, and information.
  • Monitors project scope, schedule, and costs.
  • Orchestrates collaboration and task execution among cross-functional team members (instructional designers, graphic artists, developers, and editors).
  • Assesses project risks and provides mitigation strategies.
  • Acts as the point of contact and communicates project status to all stakeholders.
  • Chairs project meetings and distribute minutes as appropriate.
  • Produces and monitors risk management plans, as necessary.
  • Maintains project documentation.
  • Ensures project quality standards are met.
  • Conducts ad hoc analyses to investigate ongoing or operational issues.
  • Time management - being able to manage multiple projects and tasks and seamlessly shift focus
  • Relationship building and management - being able to build solid, positive, and trusting relationships with all clients (TDD, Training Operations, NFATC, Bureaus, Prime Contractor etc.), PC team members, and project team members; sustain those relationships
  • Responsiveness - understand the expectations on PCs to be very responsive (calls, chats, and emails) and meet/exceed those expectations
  • Proven ability to manage all levels of projects - Successful project management of minor maintenance, higher level maintenance, revamps, and new, of all levels of scope, priority, visability, risk etc; including managing projects with high level stakeholders.
  • Organized - proven ability to organize all project documentation and keep everything up to date, including schedules, reporting documentation, project folders, trackers etc
  • Proven understanding of project management reporting - able to calculate and report on project management data, including but not limited to resources hours and cost, variances, burn rate, and earned value management.
  • Proven understanding of risks and how to plan for and handle risk mitigation and management
  • Solid communication - ability to communicate with all levels of stakeholders and leadership at the right level of detail and best method, write effective and sound emails, facilitate meetings
  • Ability to handle all levels of work fluctuation - sometimes we have slower times that allow us to catch up on SOPs, process work, and administrative tasks and other times we are very busy and PCs need to be able to manage multiple projects and tasks. The potential PCs needs to be comfortable with all of this.
  • Ability to learn processes and be comfortable with changing processes - Things change often in TDD and the potential PC needs to be comfortable with the ambiguity, learn the new processes/steps and ensure processes are being followed on their projects. Stay familiar with provided SOPs, job aids, and templates.
  • Other duties as assigned.
  • Additional Experience - Project management certification (including, but not limited to PMP, ScrumMaster, or PMI-ACP).
  • Additional Experience - Knowledge of SCORM and learning management systems.
  • Additional Experience - Demonstrated understanding of Section 508 accessibility guidelines.

Education and/or Experience

Minimum Experience Required

  • Minimum 3 years of demonstrated work experience as a Project Manager, Project Coordinator, or similar role.
  • Demonstrated experience managing digital learning projects from conception to delivery.
  • Demonstrated experience with Agile methodologies.
  • Demonstrated experience with project management tools (including, but not limited to Microsoft Project, Microsoft Planner, and Trello).
  • Demonstrated experience estimating the level of effort for technology-based learning projects.
  • Demonstrated experience tracking project metrics, including but not limited to burn-down rates, earned value, and estimates to completion.
  • Demonstrated ability to concurrently manage multiple projects under tight time requirements.

This professional may be assigne0d to work with high-level officials to ensure that critical (or time-sensitive) training is delivered in an efficient and effective manner. Therefore, this position requires experience above the entry level.
